Account setup

Owner or operations manager · One time, about 45 minutes
1.1

Create the account

Go to flowerfreight.app and register with your business email. You'll need your NJ-CRC license number in its real format — a prefix plus six digits. There is no CANN- prefix.

Complete company details

Account → Company. Enter your legal entity name, license class, license expiry date, and facility address.
Why the address matters: it becomes your origin geofence. Departures record automatically when a van leaves it, so an inaccurate address means inaccurate departure times on your audit record.

Connect Metrc

Account → Metrc. You generate your own User API Key inside Metrc and paste it here.
Never use another company's key.Keys are issued to your license and are non-transferable under the CRC API agreement.
We verify the key before saving — we call Metrc, confirm it works, and confirm it covers your license number. A bad key is rejected immediately with the reason rather than failing silently at 6am three weeks later.

Once connected, transfers you create in Metrc import automatically every 15 minutes. You keep building transfers in Metrc exactly as you do today. Nothing is re-entered.

Register vehicles

Account → Vehicles → Add vehicle. Every vehicle is checked against the five state requirements:
  1. Secure lockbox or secure cargo area
  2. Active GPS device
  3. Functioning heating and air conditioning
  4. No markings identifying it as carrying cannabis
  5. Vehicle details reported to the Commission
Also enter the registration expiry date — you'll be emailed at 30, 14, and 7 days.
A vehicle missing any one requirement is marked non-compliant and cannot be assigned to a load.

Add drivers

Account → Drivers → Add driver. For each: full name, email, phone, driver's license state and last four with expiry, and their Cannabis Business Identification Card number and expiry. Each driver receives an email invite to set a password.
Expiry dates are not optional paperwork.A driver whose CBIC lapsed is a citation at a roadside stop. The system emails you at 30, 14, and 7 days — but only if the date is on file.

The dock

Warehouse staff · Every outbound load, about 5 minutes
2.1

Open the load

The transfer must already exist in Metrc. If the load isn't showing, wait for the next 15-minute sync or check the transfer was actually submitted.

On the tablet or phone at the dock, open the load. The scan screenappears before the trip can start.

2.2

Scan every package

Tap Scan with camera and point at each package tag as it goes into the van. Each scan checks three things live:
  • Is this tag on the manifest for this transfer?
  • Is the package active in your inventory?
  • Has it passed lab testing?
A good scan buzzes once and turns green. No camera, or an older phone? Type or paste the tag into the field below — same checks apply.

Handle a blocked scan

Four things stop a load. Each buzzes twice and shows red.

Never work around a block. The server refuses to record a departure for a blocked load even if someone gets past the screen. Working around it produces an unrecorded transport — worse than a delay.

The run

Drivers · Every run
3.1

Install the app once

Open flowerfreight.app in your phone's browser and sign in with the password from your invite email. Tap Add to Home Screenwhen prompted. It opens full screen like any other app.
There is nothing to download from an app store. Setup takes about ten seconds per driver.

Start the run

Open today's run. You see only your own assignments — no board, no rates, no other companies' loads.
If the button reads “Scan every package to unlock,” the dock hasn't finished verification. Don't start driving — go find them.
Tap Start trip.

Keep the phone mounted

Mount the phone and leave the app open. The screen stays awake on its own during an active trip.

If you press the power button or leave the app for a long call, GPS pauses until you come back. It resumes on its own — but the gap shows on the record.

Drive the stops

Arrivals and departures record themselves as you cross each facility's geofence. You don't tap anything. If GPS is denied or you're in an underground dock, the manual Arrived and Departedbuttons do the same job.

At each stop, in order:
  1. Temperature — log cargo temp if the load requires climate control
  2. Signature — the receiver signs on your phone
  3. Departed — automatic, or manual if needed

No signal?

Keep working. Everything you record saves on the phone and syncs when bars return.
Do not re-enter anything.Duplicate entries create discrepancies on the audit record.

Compliance desk

Compliance officer or bookkeeper · Daily and monthly
4.1

Read the daily reconciliation email

It arrives every morning around 6am. Clean means every transfer Metrc recorded yesterday has a matching Flower Freight record with a GPS trail.

A discrepancy names the specific manifest and the problem:
DiscrepancyMeaningAction
In Metrc, not tracked hereA transfer moved with no chain of custodyFind out who moved it and how. This is the one the CRC asks about.
Tracked here, not in MetrcTransfer was never submittedVerify it exists in Metrc.

Fix discrepancies the same day. A same-day correction is housekeeping. The same problem found at audit is a finding.

Act on credential alerts

One digest per organization at 30, 14, and 7 days and on expiry. Each alert is sent exactly once — there is no daily nagging, so don't ignore the first one.

4.3

Review invoices before they send

Invoices generate automatically on delivery acceptance, built from the Metrc manifest itself. They bill net — refused packages are deducted and shown struck through.
If an invoice is held as a draft with a warning, a rejection couldn't be netted automatically — usually a unit mismatch. Review the amount and send manually. Billing 498 grams when the driver meant “two damaged jars” is worse than asking a person to look.

Export for an audit

Account → Data → Export. One file containing every load, manifest, GPS trail, package scan with Metrc and lab status, temperature log, signature, rejection with photos and return manifests, and both parties' license and insurance status at the time of transport.

  • All reconciliation reports clean, or discrepancies documented
  • No credential alerts left unactioned
  • All vehicles still marked compliant
  • Insurance certificate not within 60 days of expiry
  • Company NJ license not within 90 days of expiry
  • Any rejections resolved to restocked or destroyed
  • Export saved to your own records

When things go wrong

Everyone
5.1

A receiver rejects a package

The driver taps Receiver rejected a package on the stop card.
  1. Which package — pick the tag from the list
  2. Why — damaged, wrong item, quantity short or over, failed inspection, other
  3. How much — whole package, or part of it
  4. Photo — your evidence in a dispute
  5. File it — the shipper is alerted within seconds
For a partial, the screen shows the manifest quantity and unit — for example “Manifest shows 500 Grams shipped.” Enter the amount in that unit. The app blocks anything larger than what was shipped.
Keep the package in the van. The receiver records the rejection in Metrc, Metrc generates the return manifest, and we attach it automatically. The wholesale invoice is reduced without anyone doing arithmetic.

A van breaks down

Open the load → SOS. The load is broadcast to every verified Class 4 distributor at once. First to claim it gets it.

You receive a one-screen card with the new transporter's facility license, driver name and credentials, phone, and vehicle details. Paste it into your Metrc transfer's Transporter section and save. One edit and the manifest is legal with the new carrier. SOS broadcasts expire after four hours.
